For health and care providers

Bookings, forms and the phones. Run to your rules.

The work around an appointment or a care visit, from the first enquiry to the phone that rings after the office has shut. We can run it, put the set-up in place, or advise on it.

What we do

We help with the booking, the chasing and the answering. Clinical questions and care decisions go straight to your own people. Appointments, enquiries, forms, recalls and the calls that come after hours.

We run it, set it up or advise

That means a team we hire and lead, doing the work in your own systems. It can mean the written rules, training material and reporting the work runs on. Or it can be advice on how contact with patients and families should be organised.

Which parts are ours is up to you

It could be the recall list and nothing else. It could be the phones when the office is shut, or one project to write down what is said when a call turns clinical. It can stay at that.

Any week of the year

Everyone is already with somebody.

  1. Private clinics

Tuesday, the first clinic of the day

A new patient arrives, and none of the forms are back.

They were sent when the appointment was booked, and nobody chased them. The patient fills them in at the front desk, and the clinic runs late from its first appointment.

  2. Dental practices

    Monday, 8:30

The weekend’s toothaches all ring at once.

The front desk is checking in the first patients of the day. Some of the callers aren’t patients of the practice yet, and may not ring back.

  3. Home care

    Saturday, 21:15

A daughter rings to ask if her mother’s carer is still coming.

The office closed at five, so the call goes to the on-call phone. One of your managers has carried it every evening this week, after a full day’s work.

What we take on

What we’d do depends on who you look after.

Find the one nearest to yours. Every job on its list is run by a team of ours, and any one can be handed over without the others.

  • Consultations booked by consultant and site
  • Self-pay or insured, asked and recorded

The team

Who answers, and where they are.

Your work runs from one of our three locations, in the Philippines, Portugal or Ireland. Which one depends on the hours, the languages and the kind of work, and we agree it with you before anything starts. Wherever it is, the team answers in your name and works to the rules you’ve written down.

  • Our own employees, trained on your rules before they answer anyone
  • Prepared for callers who are worried, unwell or confused, following your approach
  • Team leads whose job is coaching
  • The hours your patients and families ring, covered
Where we work

Questions, answered.

The things health and care providers are likely to ask first.

Which parts of our work can you take on?

Any one of them, or several. That could be the booking line, the recall list, new enquiries, the forms and letters before an appointment, or the line that is answered when your office is closed. We can also set that work up for you, or advise on how it should be organised.

What does the team do when a caller asks something clinical?

It doesn’t answer. The team says plainly that it can’t advise, in wording your own clinicians have approved. It writes down what the caller said, in the caller’s words. The question then goes to the person you’ve named, by the route you’ve set. Where you want it, the caller is offered an appointment as well.

Who decides whether something is urgent?

You do, in advance and in writing. Your clinicians or care managers approve a short list of things a caller might say, and what the team does on hearing each one. The team follows that list as written. It doesn’t weigh up how serious something sounds. Anything the list doesn’t cover goes to the person you’ve named for that. If you don’t have a list yet, we’ll help you write it before the team takes a call.Processes and knowledge base

Do you work in our systems, or yours?

Yours. That might be a practice management system, a rostering system or something built in-house. The team works in whatever you run on. Each person needs a login of their own, which is yours to give, because we don’t work from a shared password.

How is our patients’ and clients’ information looked after?

The team works inside your own system, under named logins, and sees only what the work needs. Health information is handled only where that has been agreed with you in writing first. Where calls come through our phone platform, the recordings are held there, and we agree with you how long they are kept.Security and data protection

Will callers know they aren’t speaking to our own reception or office?

They deal with your organisation by name, on your own numbers. Whoever answers has your diary or your rota in front of them, along with your written rules. So the caller gets a proper answer, and not only a message taken.

How does the team learn our services and our rules?

Through training, before anyone does any work for you. How that training happens depends on what material you already have, how soon you need people, and how much of it you want to run yourselves. Your rules for clinical questions and for worries about someone’s care are part of it from the start. How we work

How are callers who are distressed or confused handled?

With time, and by the approach you’ve set. The team is trained to recognise a caller who needs more care, and to follow your guidance for them. If you don’t have an approach written down, we’ll help you build it. What happens next for that person is still decided by your own people.

Who manages the team?

We do. Hiring, the rota, cover and performance are ours, and each team has a team lead whose job is coaching. Your own staff don’t hand out the work or check it. You deal with one person who owns your service. How we work

How do we know how it’s going?

The team works in your systems, so every booking, note and log entry is there for you to read. Real pieces of work are reviewed too, and what the reviews find goes into each person’s coaching. You also get regular reporting on how the work is going, what we’ve found and what we’re doing about it.How we work

What if the work I need help with isn’t listed here?

Tell us about it. This page covers the work health and care providers are most likely to need, not everything we do. If the work follows a process and happens on the phone, in an inbox or in your booking or rota system, there’s a good chance we can take it on. If it isn’t one for us, we’ll say so.Tell us about your business

How does the cost work?

It depends on the kinds of work, the hours and channels you want covered, the languages you need and how much the work changes through the year. We work it out with you once we understand your operation.

Let's talk.

Tell us what's going on. If we're not the right fit, we'll point you to someone we trust.
