For recruitment and staffing agencies
You do the recruiting. We can help with the work around it.
The phones, the candidate files, the timesheets, or all three. We can run them for you, set them up, or advise on how they’re organised.
Book a callWhat we do
Calls answered, shifts confirmed, documents chased and timesheets brought in. Mostly for agencies that supply temporary and contract workers. The calls and the chasing suit permanent recruiters too.
The recruiting stays with you
The team answers the calls, takes the details and chases what a file is missing. Who is suitable, who is put forward and whether a file is complete are for your own people to decide.
Which parts we take on is up to you
The phones in the evening and at weekends is one place to start. Timesheet chasing before the cut-off is another, with no calls involved. So is a one-off project to bring every candidate file up to date.
Who gets in touch, and why.
An agency is rung from both sides, by people looking for work and by the businesses that need them. These are the reasons each tends to ring.
Candidates
Often outside office hours
- Registering, or asking about a job they’ve seen
- “Any news on my application?”
- Booking an interview, or moving one
- Saying yes to an offer
- What’s still missing from their documents
Workers on assignment
Around the start and end of a shift
- “I can’t make my shift tomorrow”
- Where to go, and what time to start
- A timesheet their manager hasn’t approved
- A question about pay or start dates
- A certificate that’s about to run out
Clients
When they need someone, sometimes today
- A new vacancy to brief
- Someone needed today, or tonight
- A temp who isn’t working out
- A timesheet they don’t agree with
What we’d take on.
Each of these is a line or a list that a team of ours runs to your process. The team answers in your agency’s name and works in your own recruitment system.
- Calls, in your agency’s nameCandidates and clients answered when nobody at your office can pick up, and put through by desk, by consultant or by vacancy. A new booking, or a request to move an interview, is taken in full for the consultant.
- Evenings, nights and weekendsThe out-of-hours line answered, and every call noted on the record. Where you keep a list of workers already cleared for a client’s site, the team can ring it in your order when someone drops out, at the hours you’ve agreed workers can be rung.
- Shifts confirmedTomorrow’s shifts confirmed with everyone due to work them, and anyone who hasn’t answered rung again.
- Candidates kept informed“Any news on my application?” answered from the record, and candidates told when a role has been filled, in the wording you’ve approved.
- Documents and referencesWhat each file needs collected and chased, and referees followed up. Your own people make the checks and sign the file off.
- TimesheetsWorkers who haven’t sent theirs in, and client managers who haven’t approved them, chased before the cut-off. Any query is passed to you.
Candidate file · Starting Monday
Warehouse team leader, file nearly ready
- Right to work documents collected, ready for your check
- First reference in, second referee chased
- Forklift certificate runs out next month
To you
Everything for your checks is in the file except the second reference. The forklift certificate lapses three weeks into the booking, so a renewal date is worth asking for now.
In your system, against the candidate
Off the phones too
And the things you hadn’t thought to ask for.
A line that’s answered in the evening may be what you were looking for. Here is what else we could set up, run or advise on.
- We set it up
What every file needs, written down once
What each kind of role needs in its file, who is chased for it and when, in one list that your own people and the team both work from.
Processes and knowledge base - We run it
The busy weeks, covered
More people on the phones for a stretch you can see coming, such as the run-up to a season of temporary bookings, trained before it starts.
Seasonal and peak cover - We set it up
Why candidates and clients ring
Calls sorted by reason and by desk, so you can see which of them need a consultant and which don’t.
Reporting - We run it
Renewals, before they lapse
A certificate or a check that is due to run out followed up with the worker ahead of the date, and the new one put on the file for you.
Back office and admin - We run it
Overdue invoices, chased
Invoices your business clients haven’t paid followed up politely and regularly, with anything disputed brought to you.
Credit control - We plan it with you

Consultancy
Outside the working day
Six in the evening to six the next morning.
Not every candidate can talk in office hours, and a worker can drop out after everyone has gone home. This is how one evening and night might go for an agency with permanent and temporary desks. What the team settles, when it rings your own workers and what waits for you are yours to set beforehand.

Office support desk
“I’ve seen your advert for the accounts job. Is it still open?”
Still open. Her details taken to your questions, for the consultant
19:05
Driving desk
“Where do I go tomorrow, and who do I ask for?”
Answered from the booking
19:50
Engineering desk
“Has my second reference come back yet?”
Not yet. The referee chased, and the candidate told
20:15
Warehouse desk
“I’ve hurt my back. I won’t be in for the rest of the week.”
The list you keep for that site rung in your order, and cover confirmed from tomorrow
21:30
Hospitality desk
“We need two more for Saturday’s event.”
Booking taken in full, ready for your desk in the morning
05:40
Hospitality desk
“Last night’s temp left early.”
Details taken, nothing said about the worker, left for you
By the time the office opens, each one is on the candidate’s or the client’s record.
- Settled from your notesStart details, where a file has got to and what happens next, answered from your system and from what you’ve told the team to say.
- Covered from your own listWorkers you’ve already cleared for that site rung in the order you set, at the hours you’ve agreed, and the client told who is coming.
- Left for youAnything that is a decision about a candidate or a client, with the details taken and nothing promised.
The team behind it.
Candidates and clients are dealing with your agency. The team works in your system, to your process and the lines you’ve set.
We hire them, and we lead them
Trained on your process and your desks before they take a call. Each team has a team lead whose job is coaching.
How we workThe location that fits your hours
The Philippines, Portugal or Ireland. Which one depends on the hours you need covered and the work, and we agree it with you at the start.
Where we workCandidates’ details and documents
Named logins, access only to what the work needs, and one client’s information never visible to another client’s team.

Questions, answered.
The things recruitment and staffing agencies are likely to ask first.
What stays with our consultants?
The recruiting. Finding and assessing candidates, deciding who is put forward, offers, rates and terms all stay with your own people. The team answers the calls, records what was said and does the chasing. A client who rings with a new vacancy has the details taken in full, for a consultant to ring back.
Who makes the right to work check and signs the file off?
You do. The team collects the documents a file needs and chases what’s missing, so everything is ready for your check. Your own people make the check and sign the file off.
Can the team arrange cover from our own list?
Yes, where you keep a list of who is available and already cleared for that client’s site. The team rings it in the order you set, at the hours you’ve agreed workers can be rung. When someone accepts, the cover is confirmed with your client and both records are updated. If nobody can do it, there is no list for that site, or the shift is too close to ring round for, it comes to whoever you’ve named as on call.
Will the team work in our recruitment system?
Yes. That might be a recruitment system with timesheets built in, a separate booking tool or something built in-house. The team works in whatever you run on, and each person needs a login of their own. A call ends as a note on the candidate’s or the client’s record, not as an email for someone to retype.
Can you take one desk, only evenings and weekends, or only our busiest months?
Yes. It could be one desk, the evenings and weekends, or the overflow when the phones are busy. A busy stretch you can see coming is planned with you ahead of time, so that everyone covering it has been trained before it starts.
Who manages the team?
We do. Hiring, the rota, cover and performance are ours, and each team has a team lead whose job is coaching. Your consultants don’t hand out the work or check it. You deal with one person who owns your service. How we work
How does the team learn our desks and the roles we recruit for?
Through training, before anyone takes a call. How that training happens depends on what material you already have, how soon you need people, and how much of it you want to run yourselves. A new desk or a new client is trained in before the team starts on it.
What if the work I need help with isn’t listed here?
Tell us about it. This page covers the work recruitment and staffing agencies are most likely to need, not everything we do. If the work follows a process and happens on the phone, in an inbox or in your recruitment system, there’s a good chance we can take it on. If it isn’t one for us, we’ll say so.Tell us about your business
